Separate the budget into five parts

  1. Software: Salesforce subscriptions, required add-ons and any third-party licences. Confirm which are included in the proposal.
  2. Implementation: discovery, configuration, automation, permissions and reporting.
  3. Data and connections: cleaning existing records, migration, system access, field mapping and integration testing.
  4. Adoption: training, documentation, business testing and launch support.
  5. Ongoing care: administration, enhancements, release checks and integration monitoring.

What makes a project more complex?

Multiple business units, inconsistent data, different approval paths and several systems can each add decisions and testing. A small user group with complicated workflows can require more implementation work than a larger team using one consistent process.

Compare proposals on the same scope

Ask each provider to state what will be delivered, who owns data cleaning, how acceptance is tested, what training is included and how changes are priced. Confirm exclusions and recurring costs alongside the implementation fee.

Prepare these before a discovery call

  • Your three most important business outcomes.
  • A list of systems and the records that must move between them.
  • A representative, anonymised data sample.
